Org. Setting and Reporting

The United Nations Human Settlements Program-me, UN-HABITAT, is the United Nations agency for human settlements. It is mandated by the UN General Assembly to promote socially and environmentally sustainable towns and cities with the goal of providing adequate shelter for all. The post is located in the Global Division, Urban Design and Planning Services Unit.

Responsibilities

Under the supervision of the Chief, Urban Design and Planning Services Unit the incumbent will perform the following duties:

1. Assist in the coordination of program-me planning and preparation work; Monitor status of program-me proposals and receipt of relevant documentation for review and approval.

2. Compile, summarize and present basic information on specific program-me and related topics or issues.

3. Review project document on cost plans and compliance with relevant rules and procedures; Distribute project documents to relevant parties upon approval.

4. Review budget revision, verify availability of funds, ensure necessary approval and entry in computerized budget system.

5. Serve as focal point for administrative coordination of program-me implementation activities; Obtain necessary clearance, process and follow-up on administrative actions.

6. Compile, summarize and enter data on project delivery; Draft related status reports, identify shortfalls in delivery, budget overruns etc and bring to the attention of the management.

7. Draft correspondence on budget related issues and prepare and update periodic reports, briefing notes, graphic and statistical summaries, accounting spreadsheets etc.

8. Provide general office assistance; Respond to complex information requests and inquiries; Review, log and route incoming correspondence; Set up and maintains files/records; Organize meetings, workshop and handle routine administrative tasks.

9. Provide guidance/training to new/junior staff.

10. Perform other duties as assigned.

Education

Completion of Secondary education or equivalent. Supplemental course in Office administration/management, program-me management or other related field desirable.

Work Experience

A minimum of five years of progressive responsible experience in administrative services, program-me management or related fields are required.

Languages

English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required and acceptable knowledge of French is necessary. Knowledge of another UN official language an advantage

Assessment Method

Evaluation of qualified candidates for this position may include a substantive assessment which may be followed by a competency-based interview.
